If your student is experiencing a hold on their account, they will need to clear the hold. When an office places a hold on a student record, they send a warning or notification to students through their Bobcats email address. Students can also check their holds in PAWS under their Student Profile at any time. This screen also shows what process the hold may block.
Common Holds at GCSU include:
- Undergraduate Admissions Hold
- The Office of Admissions will place a hold on student records if a student is missing materials needed to finalize their acceptance to GCSU. Contact an Admissions Representative at 478-445-1283 or review your checklist in the Application Status Portal. Students must submit the necessary documents to clear the hold.
- Advisor Hold
- The Registrar’s Office places an Advisor Hold on all student records after the first week of classes each term. This hold ensures students meet with their advisor prior to making any change to their current schedule and before registering for the next term. These meetings are an important tool to help your student remain on track for graduation. If your student has an advisor hold and has not made an appointment with their advisor for the next registration term, please encourage them to schedule their appointment.
- New Student Requirements Not Complete
- Student has not completed all of the required online modules. Information can be found online here.
- Accounts Receivable Hold
- The Business Office will place an Accounts Receivable Hold if students have an outstanding balance after the payment deadline. To clear this hold, students must pay the balance due on their account. Questions regarding balances can be directed to the Business Office at 478-445-5254 or in person at Parks Hall 111.
- Immunization Hold
- The University System of Georgia and GCSU requires proof of immunization for all students. The Registrar’s Office will place an Immunization Hold on student records if the documentation has not been submitted or a vaccine needs to be updated. Students will receive multiple emails from the Registrar's Office regarding what is needed to clear the hold. Visit out Immunization Information page for additional information. Documentation must be submitted to clear the hold.
- Residence Hall Charge
- Residence Life places a hold on student accounts for loss or damages to room or furnishings, as well as lost keys. Students must pay the balance to have the hold removed. Students can pay at the Business Office in Parks Hall 111 or by phone at 478- 445-5254.
- Library Hold
- The Library places a hold on student records if there is an outstanding fine. Students can pay the fine at the Business Office in Parks 111 (478-445-5254) or at the Circulation Desk on the 2nd floor of the Library (478-445-4047).
- Parking Fine
- Parking & Transportation Services will place holds on records any time a parking ticket is issued to a student. Students can view and pay parking tickets online in their Parking & Transportation Services Account. They may also pay in person at the Business Office in Parks Hall 111 or by phone at 478-445-5254. All parking tickets must be paid for the hold to be removed.
- Academic Success Plan Required
- A student on Academic Warning or Academic Probation (generally a GPA under 2.0), is required to complete an Academic Success Plan with their academic advisor. This hold will remain on a student's account until a plan is completed. This process helps students create a plan to return to good standing.
- 4W and 5W Warnings
- The Registrar’s Office will place a warning hold student records if a student has 4 or more course withdrawals (Ws) at GCSU. Once a student has accumulated five W grades, all subsequent drops will be recorded as WF, which impacts GPA as an F. Students with this warning on their account should talk to their academic advisor prior to dropping additional courses.
